ABOUT VISION FLEET
Vision Fleet is a fleet management application developed and operated by Vision Commercial Solutions Company. It is used by organisations and their drivers to manage vehicle tracking, trip history, fuel monitoring, maintenance schedules, driver behaviour scoring, real-time alerts, and shift management. The app is available on Android and iOS and is used by drivers, fleet managers, and administrators within subscribing organisations.
SCOPE
This Privacy Policy applies to all users of the Vision Fleet application, including drivers, fleet managers, administrators, and other authorised personnel. It covers information collected through the mobile application, the web platform, the administrative console, and related support channels.
INFORMATION WE COLLECT
- Location Data
Vision Fleet requests access to your device’s precise and approximate location to display the live map, track your assigned vehicle, and record trip start and end coordinates. Background location access is requested to continue tracking your active shift when the application is minimised. Background location is collected only during an active shift and stops automatically when the shift ends. Location data is visible only to authorised fleet managers and administrators within your organisation. - Vehicle Telemetry Data
Real-time telemetry is received from GPS hardware installed on your assigned vehicle via a secure WebSocket connection. This may include live GPS position, speed, heading direction, fuel level, freezer temperature (where equipped), ignition status, odometer reading, engine hours, and online/offline status. - Driver Profile and Employment Information
Your employer may store the following information on the platform: full name, employee ID, phone number, work email, job role, driving licence number and expiry date, profile photograph, emergency contact number, account creation date, and last login timestamp. - Trip Records
Each recorded trip may include: trip identifier, associated vehicle and driver, shift reference, start/end timestamps, start/end GPS coordinates, distance travelled, maximum and average speed, fuel consumed, idle duration, and trip status. - Fuel Events
Fuel event records may include: tank type, fuel level before and after the event, amount in litres, cost, receipt photograph (where uploaded), GPS coordinates at time of event, and any driver notes. - Alerts
Vehicle alerts are recorded with their type, severity, message, GPS coordinates, associated vehicle and driver, status, and timestamp. - Maintenance Records
Maintenance records may include: maintenance type, description, status (scheduled, overdue, or completed), scheduled and completed dates, odometer threshold, and priority level. - Driver Behaviour Data
The platform calculates a driver behaviour score based on events such as harsh braking, rapid acceleration, and speeding. This score and its breakdown are visible to the driver and to authorised managers and administrators within your organisation. - Shift and Daily Summary Data
The platform records active shift status, shift start time, daily kilometres driven, number of trips completed, and fuel percentage for dashboard summary purposes. - Authentication Credentials
Authentication tokens (JSON Web Tokens) are stored in hardware-backed encrypted storage — Android Keystore on Android and iOS Keychain on iOS — and are never written to unprotected storage. Biometric data is processed entirely on-device by the operating system and is never transmitted to or stored by the Company. - Camera and Photo Library
Camera and photo library access is requested to allow you to upload a profile photograph and capture fuel receipt images. The app accesses your camera or photo library only when you initiate a capture or selection action. - Device and Technical Information
The app may read your device model, operating system version, and installed app version for diagnostic reporting and to adapt certain app behaviours. - Network and Connectivity Status
The app checks network connectivity to display an offline indicator and to queue fuel events locally for synchronisation once connectivity is restored. No personal data is transmitted as part of this check. - App Settings and Preferences
Your chosen display language (English or Arabic) and theme preference (light, dark, or system) are saved locally on your device and are not transmitted to our servers. - Offline Cache
To support use in areas with limited connectivity, the app caches certain data locally using Hive local storage. Cached data is synchronised with the server when connectivity is restored.
HOW WE USE YOUR INFORMATION
- To provide, operate, and maintain the Vision Fleet Services
- To track vehicle positions, routes, and telemetry on behalf of your employer
- To record and report trip history, fuel consumption, and driver behaviour
- To monitor vehicle maintenance schedules and generate alerts
- To create, authenticate, and manage user accounts
- To support shift management and attendance compliance
- To improve app performance, reliability, and security
- To comply with applicable laws, regulations, and legal obligations
We do not use personal data to train AI or machine learning models, sell or rent data to third parties, or build advertising profiles.
LEGAL BASIS FOR PROCESSING
We process personal data in compliance with the Kingdom of Saudi Arabia’s Personal Data Protection Law (PDPL) on the basis of your consent, performance of a service contract, compliance with legal obligations, and legitimate business interests.
BACKGROUND LOCATION — ADDITIONAL DISCLOSURE
Vision Fleet collects location data in the background solely to support real-time fleet operations. Background location is used to continue recording your shift and vehicle tracking session when the app is moved to the background, and to maintain the live vehicle position stream during an active navigation session. Background location collection is active only when a shift is in progress and stops automatically when the shift ends. This data is used exclusively by your employer’s authorised fleet administrators and managers and is not shared with advertising networks or analytics platforms.
DATA SHARING AND DISCLOSURE
We do not sell or rent personal data. We may share information only with cloud infrastructure and hosting providers (under confidentiality obligations), your employer and authorised roles within Vision Fleet, and legal authorities when required by law or to prevent fraud.
DATA RETENTION
Driver and vehicle data is retained for the duration of the Customer organisation’s active subscription and for any legally required period afterwards. When a Customer terminates their subscription, Vision Fleet provides a data-export window during which all records can be downloaded before deletion.
YOUR RIGHTS
You have the right to access, correct, delete, and receive a portable copy of your data, and to object to or restrict certain processing. To exercise these rights, contact your employer’s fleet administrator or email

DATA SECURITY
- All data is encrypted in transit (TLS) and at rest
- Authentication tokens are stored in hardware-backed encrypted storage
- Background location data is transmitted over encrypted WebSocket connections
- Access is strictly role-based — drivers cannot view other drivers’ records
- Every sensitive action is recorded in a tamper-evident audit log
- Administrator sessions are subject to automatic expiry
COOKIES AND SIMILAR TECHNOLOGIES
The Vision Fleet mobile application does not use browser cookies. It uses Android Keystore / iOS Keychain for authentication tokens and Hive local storage for offline cache and preferences. Our associated web applications may use session cookies to maintain your session.
INTERNATIONAL DATA TRANSFERS
Your information may be stored or processed on servers inside or outside the Kingdom of Saudi Arabia. Where such transfers occur, we take reasonable steps to ensure equivalent safeguards are in place in accordance with the Saudi Arabia PDPL.
CHILDREN’S PRIVACY
Vision Fleet is a workplace platform intended for adults. Our Services are not intended for children under the age of 13. If we become aware that personal data of a child has been collected without proper consent, we will take immediate steps to delete such information.
CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. For significant changes affecting driver or vehicle data, we will notify the Customer’s administrator by email at least 14 days before the change takes effect.
