ABOUT VISION HR

Vision HR is a human resources management application developed and operated by Vision Commercial Solutions Company. It is used by organisations and their employees to manage attendance, leave, overtime, payroll, performance evaluations, approvals, and HR records. The app is available on Android and is used by employees, managers, and administrators within subscribing organisations.

SCOPE

This Privacy Policy applies to all users of the Vision HR application, including employees, managers, administrators, and visitors. It covers information collected through the mobile application, web platform, administrative console, and related support channels operated by the Company.

INFORMATION WE COLLECT

  1. Location Data
    The Vision HR app requests access to your device’s precise and approximate location on Android. Location is collected only at the moment you perform a check-in or check-out action to verify that you are within a workplace geofence boundary defined by your employer. The app does not track your location continuously, does not access location in the background, and does not access location when the app is closed. The recorded coordinate is stored as a single point per attendance event and is visible only to authorised administrators and managers within your organisation.
  2. Personal and Employment Information
    Your employer may store the following on the platform: full name, employee number, national ID (where required), job title, department, branch, and reporting relationships; contact details; date of joining, contract type, and employment status; daily attendance records including check-in and check-out timestamps; leave balances and approval history; overtime requests and approval history; payroll data including salary components, deductions, allowances, and payslip files; performance evaluation scores and review history; correction requests and supporting documents; and notification preferences.
  3. Authentication Credentials
    Authentication tokens (JSON Web Tokens) are stored in hardware-backed encrypted storage — Android Keystore on Android and iOS Keychain on iOS — and are never written to unprotected storage.
  4. Device and Technical Information
    The app may read your device model, operating system version, and installed app version for diagnostic reporting and to adapt certain app behaviours.
  5. App Settings and Preferences
    Your chosen display language (English or Arabic) and theme preference are saved locally on your device using SharedPreferences and are not transmitted to our servers.
  6. Network and Connectivity Status
    The app checks network connectivity to display an offline indicator and to queue attendance punches locally for synchronisation once connectivity is restored. No personal data is transmitted as part of this check.
  7. File Access and Uploads
    When you choose to upload a document, the app accesses only the specific file you explicitly select. The app does not scan or access your device storage without your direct action.
  8. Payslip Files
    PDF payslip files are downloaded to your device’s temporary cache for in-app preview. These files are temporary and subject to normal operating system cache eviction. Payslip files on the server are served only through short-lived expiring private links and are never publicly accessible.
  9. Website and Web Platform Visitors
    When you visit the Vision HR website, we collect standard server logs (IP address, browser type, pages visited, timestamps), voluntary form submissions, and session cookies required for the site to function. We do not run advertising networks or cross-site tracking on this website.

HOW WE USE YOUR INFORMATION

  • To provide, operate, and maintain the Vision HR Services
  • To verify employee attendance location against employer-defined geofence boundaries
  • To create, authenticate, and manage user accounts
  • To calculate leave balances, process payroll, route approval workflows, and generate payslips
  • To run performance evaluation and notification features on behalf of your employer
  • To improve app performance, reliability, and security
  • To comply with applicable laws, regulations, and legal obligations
    We do not use personal data to train AI or machine learning models, sell or rent data to third parties, or build advertising profiles.

LEGAL BASIS FOR PROCESSING

We process personal data in compliance with the Kingdom of Saudi Arabia’s Personal Data Protection Law (PDPL) on the basis of your consent, performance of a service contract, compliance with legal obligations, and legitimate business interests.

PAYROLL AND FINANCIAL DATA

Salary information, payslip details, deductions, and allowances are accessible only to: the employee themselves, their direct manager (where your employer has granted this access), the Company Administrator, and the Platform Super Administrator. No payroll data is accessible to other employees or to external parties.

DATA SHARING AND DISCLOSURE

We do not sell or rent personal data. We may share information only with cloud infrastructure and hosting providers (under confidentiality obligations), email delivery services used to send HR notifications and payslips on your employer’s behalf, your employer and authorised roles within Vision HR, and legal authorities when required by law or to prevent fraud.

DATA RETENTION

Employee data is retained for the duration of the Customer organisation’s active subscription and for any legally required period afterwards. When a Customer terminates their subscription, Vision HR provides a data-export window during which all records can be downloaded before deletion. Website contact form data is retained for up to 24 months or until deletion is requested.

YOUR RIGHTS

You have the right to access, correct, delete, and receive a portable copy of your data, and to object to or restrict certain processing. To exercise these rights, contact your employer’s HR administrator or email

DATA SECURITY

  • All data is encrypted in transit (TLS) and at rest
  • Authentication tokens are stored in hardware-backed encrypted storage
  • Payslip files are served only through short-lived expiring private links
  • Access is strictly role-based — employees cannot view other employees’ records
  • Every sensitive action is recorded in a tamper-evident audit log
  • Administrator sessions are subject to automatic expiry

COOKIES AND SIMILAR TECHNOLOGIES

The Vision HR mobile app does not use browser cookies; it uses Android Keystore / iOS Keychain for authentication tokens and SharedPreferences for local settings. Our associated web applications may use session cookies to maintain your session and remember preferences.

INTERNATIONAL DATA TRANSFERS

Your information may be stored or processed on servers inside or outside the Kingdom of Saudi Arabia. Where such transfers occur, we take reasonable steps to ensure equivalent safeguards are in place in accordance with the Saudi Arabia PDPL.

CHILDREN’S PRIVACY

Vision HR is a workplace platform intended for adults. Our Services are not intended for children under the age of 13. If we become aware that personal data of a child has been collected without proper consent, we will take immediate steps to delete such information.

CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. For significant changes affecting employee data, we will notify the Customer’s administrator by email at least 14 days before the change takes effect.
